What is the Quick Access Toolbar?
The Quick Access Toolbar is a collection of shortcuts to the frequently used features, options, commands, or groups of options. By default, the toolbar is hidden under the Office applications ribbon, but you can choose to display it and move it to appear above the ribbon.
Show or hide the Quick Access Toolbar
In any Office, press the Alt key.
Press Shift + Z + R to expand the "Appearance Options" menu on the ribbon.
Do one of the following
- If the Quick Access Toolbar is hidden, press the S key to select "Show Quick Access Toolbar".
- Keyboard command to display the quick access toolbar
- The Quick Access Toolbar appears in the upper left corner of the application above the ribbon.
- If the Quick Access Toolbar is visible, press the H key to hide it.

To access and use the buttons on the Quick Access Toolbar when editing a document in any Office application, press the Alt key, and then press the key tip number associated with the feature.
If you are using a screen-reader and the Quick Access Toolbar is located above the ribbon, press the Alt key. You will hear a "Ribbon tab" followed by the currently selected tab, for example, "Main tab". Then press the up arrow key to move the screen reader focus to the quick access toolbar. To move to the toolbar, use the right arrow key.
If you are using a screen-reader and the Quick Access Toolbar is located below the ribbon, press the Alt key. You will hear a "Ribbon tab" followed by the currently selected tab, for example, "Main tab". Then press the down arrow key until you hear "Quick Access Toolbar" followed by the first item in the toolbar. To move to the toolbar, use the right arrow key.

Add buttons to the quick access toolbar
You can quickly add buttons for features that are already on the ribbon in the Quick Access Toolbar. If you can not find the feature you want on the ribbon, you can find it in the list of features available in the application options.
Add buttons for features from the ribbon
In any Office, press the Alt key. The focus shifts to the ribbon.
Scroll to the tab, and then to the feature, option, command, or group of options that you want to add to the Quick Access Toolbar. For instructions on how to use the ribbon, see the "Using the keyboard to work with the ribbon" button.
When you are in the right position, press Shift + F10 to open the context menu.
To add the button to the toolbar, press the A key.
Add buttons for features that do not exist on the ribbon
In any Office, press the Alt key.
Press the up arrow key once to move to the quick access toolbar.
Press the right arrow key until you reach the "Customize Quick Access Toolbar" button. To expand the menu, press Alt + Down Arrow Key.
Press M. The "Quick Access Toolbar" tab in the application options opens.
Press the Tab key once to move the focus to the list of popular commands.
Press the down arrow key to expand the list.
Use the down arrow key to scroll down to the command group or tab that contains the feature you want to add and press the Enter key to select the group or tab.
Tip: The tabs are listed in the order they appear on the ribbon.
To scroll through the list of features of the selected group or tab, press the Tab key once.
Use the down arrow key to scroll through the list.
When you find the feature you want to add, press Alt + A. The feature is added to the list of items in the toolbar.
To add other features from the same group or tab, use the up or down arrow key until you reach the feature you want to add, and then press Alt + A.
When you have finished adding features to the toolbar, press Enter to apply your changes.
Remove button from the quick access toolbar
In any Office, press the Alt key.
Press the up arrow key once to move to the quick access toolbar.
Press the right arrow key until you reach the button you want to remove.
Press Shift + F10 to open the context menu.
To remove the button from the toolbar, press the R key.
Change the order of the buttons on the quick access toolbar
In any Office, press the Alt key.
Press the up arrow key once to move to the quick access toolbar.
Press Shift + F10 to open the context menu.
To open the Quick Access Toolbar tab in the application options, press the C key.
Press the Tab key until you reach the list of currently available features in the Quick Access Toolbar.
Press the down arrow key until you reach the button you want to move.
Press the Tab key until you reach the Move Up Button in Word for Windows options. Move Up or The Move Down Button in Word for Windows Options. Move Down Button, depending on where you want it to move the button.
To move the power button, press the Enter key repeatedly until the button moves to the desired position.
To apply your changes, press the Tab key until you reach the OK button and press the Enter key.
Grouping buttons on the quick access toolbar
To keep your buttons on the Quick Access Toolbar organized, you can add a separator to group the buttons.
In any Office, press the Alt key.
Press the up arrow key once to move to the quick access toolbar.
Press Shift + F10 to open the context menu.
To open the Quick Access Toolbar tab in the application options, press the C key.
Press the Tab key until you reach the <separator> option in the list of popular commands and press the Alt + A key combination. The divider is added to the list of buttons on the Quick Access Toolbar.
If you want to change the position of the divider, press the Tab key until you reach the window listing the buttons, and then press the up or down arrow until you reach the divider. Then press the Tab key until you reach the "Move Up" button in Word for Windows options. scroll up or The "Scroll Down" button in Word for Windows options. "Scroll Down" button, depending on where you want to move the divider. Press the Enter key repeatedly until the divider moves to the desired position.
To apply your changes, press the Tab key until you reach the OK button and press the Enter key.
Move the Quick Access Toolbar
You can place the Quick Access Toolbar either above the ribbon (the default position) or below the ribbon.
In any Office, press the Alt key.
Do one of the following:
If the toolbar is currently above the ribbon, press the up arrow key once to move to the quick access toolbar, and then press the right arrow key until you reach the Customize Quick Access Toolbar Button in Word for Windows. "Customize Quick Access Toolbar" button. To expand the menu, press Alt + Down Arrow Key.
If the toolbar is currently under the ribbon, press the down arrow key repeatedly until you reach the first item in the quick access toolbar, and then press the right arrow key until you reach the Customize Toolbar Button Quick Access "in Word for Windows. "Quick access toolbar customization" button. To expand the menu, press Alt + Down Arrow Key.
To move the toolbar, press the S key.
Reset the Quick Access Toolbar to the default settings
In any Office, press the Alt key.
Press the up arrow key once to move to the quick access toolbar.
Press Shift + F10 to open the context menu.
To open the Quick Access Toolbar tab in the application options, press the C key.
Press the Alt + E key combination, use the up or down arrow key to select "Reset Quick Access Toolbar Only" and press the Enter key. If you are prompted to confirm the reset of the toolbar, press the Enter key.
Export a custom Quick Access Toolbar
If you want to use the exact same Quick Access Toolbar and ribbon layout and button selection on any computer, you can export the ribbon and Quick Access Toolbar adjustments to a file. Save the file to a cloud location and import it to another computer.
In any Office, press the Alt key.
Press the up arrow key once to move to the quick access toolbar.
Press Shift + F10 to open the context menu.
To open the Quick Access Toolbar tab in the application options, press the C key.
Press alt + P, use the up or down arrow key to select "Export All Adjustments" and press Enter.
The Save File dialog box opens. To change the default file name, enter a new name. Navigate to the location of the file where you want to save the export file and press Alt + S to save it.
Insert a custom Quick Access Toolbar
If you want to keep Microsoft Office programs looking the same on any workstation, you can import custom files to replace the current ribbon and quick access toolbar layout.
In any Office, press the Alt key.
Press the up arrow key once to move to the quick access toolbar.
Press Shift + F10 to open the context menu.
To open the Quick Access Toolbar tab in the application options, press the C key.
Press the Alt + E key combination, use the up or down arrow key to select the "Import Customization File" option, and press the Enter key.
The Open File dialog box opens. Navigate to the customization file you want to import and press Alt + O to enter your customizations. If you are prompted to confirm the entry, press the Enter key.
